Additional instructions on Elements

Profile

  • Contact ISE eFAR administrator if your prefix is incorrect (e.g., "Mr." rather than "Dr.") and/or your Position title is incorrect or "None."

Scholarly and creative works

  • Just like before, journal articles should be reported to the Published section of a faculty's FAR only once.  Articles can be in the Accepted but not yet published and/or Submitted but not yet accepted section in one (or more) FAR, then in the Published section in a later FAR.  The articles should not be reported as Published in multiple years of FARS. If relevant, check how to mark 2021 journal articles that were already reported in FAR 2020.
  • It is not necessary to underline the presenter of a conference paper, even though the instruction remains in a generated eFAR. More information...
  • Create a new entry manually in Elements for the paper submitted, under review, or pending revision as of Dec 31, 2021. Select Status as Submitted.
  • Published [Referred] Journal articles in a 2022 issue should be reported to CY 2022 EFAR, even if they were officially published in Year 2021. What to change in Elements
    For example, a referred journal article was officially published (with page or article #) in November 2021. But the article is in the January 2022 issue of the journal. The article should be included in CY 2022 EFAR rather than CY 2021 EFAR, because it is in a 2022 issue.
  • Enter the status of a journal publication as of December 31, 2021, not the day the record was imported from Google Scholar or ORCiD.
    Published: The article has page numbers or an article number.
    Published online: The article is posted on a website of the journal which is not published in print (online only). It is not considered as Published Online if the article is not posted on the journal's website (e.g., author's website, open-access repository sites such as arXiv.org).
    Accepted: The article is accepted or viewable on the publisher's website. But it does not have page or article number. The article is considered as "Accepted" for CY 2021 EFARs if it is posted on the journal's website as In PressAccepted, Early View, Early Access, Ahead of print, In print, Preprint, or simply without a page/article number.
    Leave the Publication date field blank; otherwise, the Accepted article won't be auto-imported to the appropriate place in CY 2021 eFAR.

An article should not be reported to section C. Refereed Journal Articles Published in more than one FAR of a faculty member.  Suppose an article was not officially published as of Dec 31, 2021 (i.e., no page or article number).  In this case, it should be assigned to Accepted status, even if the article could be viewed on the journal's website.  The Accepted articles will be populated to section F. Publications Accepted but not yet Published Online or in Print of the generated eFAR (in Word).

  • Descriptions of publication status are:

  • It might be easier to add conference and other presentations manually, because most don't get imported. If imported, there are often erros.
  • Guest lectures and invited talks should go to:
    Scholarly and creative works -> Presentation (not at a conference)
  • "Invited" presentations are not indicated as invited on a generated eFAR, even though the "Invited?" box is checked in Elements.
  • For Conference paper or presentation, there isn't any way to indicate that the conference paper was peer-reviewed. It needs to be manually added in a generated eFAR.

Grants

  • For the Internal Funding or External Funding entries, select applicable options:
    User Relationship: Primary investigator of, Co-primary investigator of, Secondary investigator of
    Types: any option except Educational
  • If you submitted proposals to the external research funding that did not go through OSP, include those proposals in Section THREE: Narrative Report section.
  • Some Pending grants will be populated in a generate eFAR (in Word) under Section TWO, II. A. 1. External Research Proposals Submitted. But Project Title and Funder columns may not have the actual information but No data provided.  It is okay to change No data provided to the actual Project Title or Funder name in the eFAR.   • Recent proposals or awards may not be auto-imported to Elements. But only the proposals in 2021 should be reported to a CY 2021 eFAR.
  • Make sure to "Claim" or "Reject" any proposals listed in the Pending section.

Professional activities

  • On Manuscript reviewing, there is no section to include revised versions of a paper. The information needs to be added manually in a generated eFAR.
  • Guest lectures and invited talks should go to:
    Scholarly and creative works -> Presentation (not at a conference)

Teaching activities

  • In Graduate student supervision record, leave Co-supervisors field blank; do not add other committee members of a student to the field.
  • All graduate student service (e.g., as an advisor or committee member) has to be manually entered.
  • On Graduate examination, there isn't any way of indicting that you are a committee member for Ph.D. or MS student. The information needs to be added manually in a generated eFAR.
  • Senior Design projects should go to:
    Teaching Activities -> Undergraduate student supervision (not Other teaching)
    Type the student design team "name" under the Last name of the Student name. Type the actual student names under the Description.
  • Guest lectures and invited talks should go to:
    Scholarly and creative works -> Presentation (not at a conference)
